BEST VIRTUAL EVENT UP TO 1500 DELEGATES
Civil Engineering Contractors Association – CECA: 25th Anniversary Conference
When faced with the challenges of COVID our organisation tore up the rule book for how we would run our annual conference. We turned this into an opportunity, by completely reinventing our event as an ‘exploded’ conference that ran over a week online rather than a single day face-to-face. This responded to delegates desire to pick-and-choose the events they attended from our programme, while still enjoying the interactivity of a conference
CTL Communications – Global Launch Event
CTL Communications were appointed to deliver a launch event for a new treatment indication. The meeting needed to be worthy of celebrating this historical moment whilst also ensuring the participants understood the strategy and actions needed to ensure a successful launch.
Built on the theme Making History: Achieving Breakthrough, the meeting centred around the patient, with handwritten letters from real patients in pre-event experience boxes, patient interviews and video re-enactments of the struggle of day to day life through to the hope for a brighter future. Attendees were live-streamed via an MS Teams community wall where more than 400 from 40 countries around the world interacted together and with presenters on stage, delivering moments to make an impact and to remember.
The culmination of 5 pre-meetings and a 2-day event with multiple workshops and sessions pairing leadership and country colleagues to deliver the key launch messages resulted in attendance above expectations with an average 94% responders were mostly or very satisfied. Overall, a great way to Make History!
DRPG – Dentology 2021
Henry Schein approached DRPG to produce its international two-day symposium Dentology 2021 set stage on a new era of educational and informative live online events around the digitalisation of dentistry, to be followed by four weeks of access to on-demand digital education. The aim of the event was to demonstrate the company’s position as a leader in digitalised dentistry, connect the worldwide dental community virtually and generate leads. The company wanted a world-class, interactive virtual experience that would provide its delegates with high value content through innovative, yet accessible, technology.
A truly global, virtual experience, the event reached dental professionals in 27 countries. The event received great feedback both from delegates and the press: “Dental Review dipped its journalistic toe into the event and was impressed by the world-class sound quality and image clarity. This was no Zoom event with postage stamp sized talking heads and muffled sound but an engagingly professional event offering insight by some of the digital sector’s best known opinion leaders.”
European Flavour Association – Virtual FlavourDay
In the midst of a pandemic, with increasing zoom fatigue, we managed to bring a sensorial and physical experience to the virtual world. We translated into a virtual event our association signature receipt for success: community feeling, connection with memories & emotions and passion for food.
Foundry – CIO Summit UK
The Official CIO Summit UK is an annual event hosted by CIO UK and has been running for 10 years. CIO is the #1 resource serving the evolving, challenging, and demanding role of the chief information officer (CIO). For 2021, the event was to be held virtually again and the team knew it was important to elevate the conference in all ways possible to avoid becoming a victim of event fatigue and being successful against a backdrop of a very busy event calendar, specifically for CIOs. Recognition of the event’s success reached the Foundry president and global VP of events who acknowledged the event as ‘the strongest UK event to date’. Registrations increased by 74% from 2020 and were 213% higher than the guarantee given to sponsors. The programme hosted 61 speakers versus the 36 that spoke in 2020. Through highly tailored session formats, 89% of the attendees engaged in at least one form of networking during the event dates. This event is considered number 1 for CIOs in the UK – “I will prioritise this event over others as it provides [the CIO with] all the information I need to keep up with what is happening in the industry” (anon).
FutureNet World
This submission is for FutureNet World 2021, a global event for the telecoms industry in its 3rd year. Over 2 half days, with 60 speakers and 27 sessions, the event attracted an audience of 830 ‘live’ attendees, from 83 countries across the globe. The aim for this event was to deliver a studio based virtual event that felt like a ‘real’ event. The programme was built around 6 core themes with a mix of ‘live’ panels, pre-recorded presentations, ‘live’ fireside chats and Q&A sessions, plus the FutureNet World Awards. A combination of live polls, audience Q&A and chat and invitation only roundtable discussions enhanced the audience engagement that resulted in high average view times and number of sessions per attendee. This testimonial sums up the results well -“Giles Cummings and the FutureNet team have done an excellent job at honing their platform to create something that is very watchable. It doesn’t feel like just another Zoom call, and they made smooth and natural turnovers between pre-recorded and live sections. In fact, it was a lot like being at a live event – in a good way, and without the schlepping between breakout rooms or arriving into plenary sessions to find eyechart slides on a screen half a mile away.

CIRED 2021 was supposed to take a place in June 2021 in Geneva and the events team had 3 months to turn the conference form a large scale physical event to large scale virtual event – ‘A major Achievement for the team’.
Meet Events – Kennedys Virtual Global Partner Summit
The Global Partner Summit is a 2-day annual event that takes place to ensure senior Partners from across the globe can connect, network, and continue to move the business forward. This event was due to take place as a live event in January 2021 but as we were still in the height of the Pandemic, the client wanted to look for a fully virtual solution. As this was the first virtual event of this scale and complexity the firm had run, the in-house events team didn’t have the infrastructure to manage this on their own so after a successful tender, Meet Events were brought on board to ensure this event was not just delivered but that the Firms goals would be brought to life in a virtual world. We ensured delegates were able to connect in significant ways from wellness sessions, to scheduled breakout sessions, we encouraged them to network in organic environments such as social walls and with 1:1 video chats and digest content in the most suitable and meaningful ways across different time zones and in one full scale creative and innovative solution. Following the events success, this client is now including similar technology across their full events calendar
