The ambition for the revamped National Housing Summit was to establish it as the most important event for senior leaders in the housing sector, leading the political agenda and shaping the direction of the sector. Moving away from the traditional conference and exhibition format, we wanted to deliver a vibrant, dynamic, destination event.

Following an exhaustive research and development process, collaborating with our members, sponsors and colleagues every step of the way, we put together a brand new event, incorporating all the popular elements of previous years whilst introducing a number of new and exciting twists.

The Summit delivered on all its key success measures, with improved audience satisfaction, greatly increased sponsorship income and significant national media coverage. With 150+ speakers (including the Prime Minister) across a huge range of session formats, 1000 delegates took part in a conference unlike any the housing sector has seen before, establishing it as the key conference in the sector’s calendar. In the words of one attendee “the Summit is the key event in the sector’s calendar – 2018 was a vintage year!”

Royal College of General Practitioners – RCGPcare Conference

Every day in surgeries across the UK, over one million patients visit a GP surgery. GPs are the only doctors in the NHS who have the skills and expertise to care for the ‘whole person’, and the only doctors in the NHS who have the opportunity and the privilege to build up lifelong relationships with their patients. But being a GP can also be incredibly stressful and pressurised and that’s why RCGP, as the body representing GPs, recognise the importance of helping our members look after their own health and wellbeing The idea for a RCGPcare conference came from a member/GP led Wellbeing working group and the agenda was entirely focused on self-care and sharing self-care.The event was free to attend and attracted x delegates representing GPs at all stages in their career. Most of the sessions held during the day were led by GPs on topics such as the importance of sleep, nutrition, mindfulness, yoga and positive habit forming with a focus on giving GPs insight into their own self-care but also to encourage them to share information and tips to use in consultation with their patients.

Royal College of Physicians – Meetings & Events

The Royal College of Physicians Meetings and Events team were tasked with creating and designing an exceptional event to celebrate the college’s 500th anniversary. The event needed to fit within a tight budget and showcase the venue to key prospects and entertain top clients. Coming up with an event for such a landmark anniversary was no mean feat. Together the RCP team collaborated to create the RCP 500 Years of Summer Festival held in the venue’s medicinal garden with street food stalls and fabulous entertainment. The event took guests travelling through time, igniting their senses and sampling five centuries of gastronomic delights and new world cuisine, whilst getting hands on with the foodie experts and finding out how Physicians have been at the heart of many historical developments. With so many facets to pull together and a full programme of activities, the dynamic Meetings & Events team pulled out all the stops to create a truly spectacular and memorable occasion.

SightCare – Independent Business & Networking Conference

– To challenge business owners and equip them with broader perspectives, and an appreciation of differentiation.

The Cura Foundation – Unite To Cure, the 4th International Vatican Conference

Cura approached Allison+Partners in 2017 and asked the agency to join it on an extraordinary mission: to rally the world around the potential of this new category of medicine to vanquish disease and reduce global suffering. To accomplish this goal, Cura wanted Allison+Partners to help up-level its bi-annual Unite To Cure event at the Vatican so it stands as one of the most high-profile, impactful thought leadership events in the world. The three-day conference, which was held from April 26-28, 2018 within the Vatican Amphitheatre in Italy, reached more than 3 billion people around the world, introducing them to an entire new approach to medicine and changing perceptions, through videos, social media posts and traditional media. Furthermore, the event and our communications efforts, highlighted a key idea: that science and faith are not opposed to one another, but that, in fact, they can co-exist and inspire one another.

The Institution of Mechanical Engineers – The 13th International Conference on Turbochargers and Turbocharging

Through close working with the technical programme committee, the Institution of Mechanical Engineers’ Events team took the 40-year-old International Conference on Turbochargers and Turbocharging (“Turbo”) to bold new heights and a world of firsts.

Focusing on innovation in a niche but significant sector of the beleaguered automotive and marine industries, the event well and truly bucked the trend, delivering excellent growth and a markedly improved customer experience.

By applying commercial events industry rigour and innovation, the Events team grew sponsorship revenue, delegate yield, abstract and paper submissions and overall audience size, at the same time increasing Net Promoter Score (NPS) by 16 points.

The decision to move to a new venue in an out-of-town location was always a risk for such an established event, but it proved to be inspired and Twickenham Stadium became a feature in itself, allowing stadium tours and pitch-side networking.

Inspired by the success of Turbo 18 the team have launched an APAC geo-clone in Singapore – the first time the IMechE has undertaken such a project, and the Institution’s first international launch in living memory.

UK Gift Card & Voucher Association – UK Gift Card & Voucher Association Conference

The UK Gift Card and Voucher Association (UKGCVA) conference aims to inform, educate and inspire with a range of topics including online shopping and marketing trends as well as legal/VAT updates to raise the profile and educate around gift cards. We engage keynote speakers from outside of the industry to talk about key retail trends whilst relating back to gift cards, plus useful consumer research and a white paper to engage the c-suite. The goal is to provide inspiration, innovation, best practice and new ideas to help advance the industry – as well as the very best networking opportunities.

In 2015, the association was losing members, becoming less relevant and meetings were not providing enough content. The new Director General, Gail Cohen came in and Natasha Russell was brought on board to help organise the conference, an annual event open to members and non-members. Over the past three years the conference has been overhauled, introducing a new format and more polished event that has grown and attracted international speakers, delegates and sponsorship. It is now the flagship industry event, for UK and overseas Gift card professionals and a key event for the association in terms of revenue and membership benefits.

The European Registrars Conference brings together registrars, collection and exhibition managers and colleagues.
It rotates biannually to a different European city and in 2018 celebrated its 20th anniversary year by returning to its inaugural location: London. The UK Registrars Group wanted to re-energise the programme, demonstrate the conference’s evolution, and nurture their growing community. The UKRG appointed MCI as its Professional Congress Organiser 12 months prior to ERC 2018. MCI developed a dynamic, vibrant brand identity which combined the city skyline and event themes: Evolve, Refresh, Collaborate. The optimised website was structured to aid the user journey with clear calls to action and email signup forms – this supported marketing with 37% of the total attendee registrations coming directly from data capture. The programme generated hype through tactical pre-event marketing and social media, leading to the event selling out two months before delivery! ERC’s community was digitally nurtured by the app and pre-event/onsite social media. These platforms fostered new connections and encouraged F2F networking. #ERC18LDN reached 225K accounts, while every delegate downloaded the app! The activity stream was in regular use recording 3,294 interactions and 226 photos over two days – a sign of a healthy, active and engaged community.

Top Banana – DFS Annual Conference

Every year leading furniture retailer DFS hosts an annual conference for 450 of its store managers and office-based staff, ahead of its peak trading period and winter sale. The aim is to motivate, inspire and equip store managers with everything they need ahead of its busy peak trading time and update them with important business messages. Working on this event for the first time, Top Banana really challenged the key stakeholders at DFS and pushed them out of their comfort zone to ensure the audience would sit up, listen and go away knowing exactly what they needed to do to add to the success of the market leading business.

With a theme ‘Play to Win’ the balanced agenda was built around the business’s newly launched values. Venturing away from the ‘sit and tell’ conference format, Top Banana turned the conference on its head and created eight truly immersive environments where delegates rotated in groups to get all the knowledge, they needed ahead of the peak trading season. With the finale of an amazing evening gala dinner and awards ceremony, DFS said it was their best conference yet and were delighted with the post-event feedback that revealed record breaking stats.

TTA (The Turner Agency) – Shine Connect

Having cancer at a young age can be an isolating experience. Shine Cancer Support is working to change that, as the UK’s only non-profit dedicated to creating a supportive and empowered community of people in their twenties, thirties and forties living with a cancer diagnosis, so that no-one need go through it alone.
Ever since a serendipitous meeting with Shine’s co-founder, Ceinwen Giles, in 2015, it has been TTA’s enormous privilege to work closely with Shine as our charity partner. On their behalf, we deliver a life-affirming annual conference, Shine Connect, which brings together young adults with a cancer diagnosis to access support, learn, laugh and share.
In 2018, we set out to make Shine Connect bigger, better and more beneficial than ever, on a shoestring budget of just over £12,000, uniting 120 participants including ten carers, and six healthcare professionals who gained a Continuous Professional Development certificate for their attendance.
As Shine co-founder, Ceinwen Giles, attests, “It takes a village to make these events happen, so massive thanks to TTA for helping us pull off Shine Connect for the third year in a row. I’m sure they’ll help us find ways to top it in 2019!”

Mad World – Mad World Summit

Mad World Summit is Europe’s only solutions-focused conference and exhibition with a clear mission: to eradicate stigma and spark a new era of mental health and wellbeing in the workplace.

The 3 Track conference was led by hugely influential business and political leaders including Sir Ian Cheshire, Sir Vince Cable, Prof Dame Carol Black, Prof Sir Cary Cooper, Lord Dennis Stevenson and many other luminaries.

Each session began with a 3 minute “Energy Boost” session guided by a professional mindfulness therapist to get the audience to focus and engage – big success!

The event included an exhibition area for 24 displays including 3 different types of immersion pods for mindfulness and AR.
The afternoon break was highlighted by a “Flash Mob” of delegates breaking into song – singing does make you happy!

The event was a sell out and the audience reaction universally ecstatic and grateful.

The organisers are grateful for the support of Forbes, BITC, MQ Mental Health, The Lord Mayors Office “This is Me” green ribbon campaign and the RetailTrust plus many more!

It was without doubt the most successful and most rewarding event we have ever launched.

MAD//Fest London

The disconnect between existing marketing events and what marketing/media leaders want was the motivating forces for Dan Brain and Ian Houghton, two first time event entrepreneurs, to launch MAD//Fest London in 2018, a Marketing, Advertising and Disruption festival designed to combine fun, credibility and buyers at scale.

In six months, MAD//Fest secured investment from publisher Mediatel, built a business from scratch, developed a unique model, delivered a show that challenged existing industry exhibitions and established a distinctively different show that exceeded all commercial and visitor expectations.

Their invite-only model enabled them to reverse the ratio of buyers to suppliers at events and deliver an audience of 2,713 leaders, 87% of whom were senior buyers.

SBL Ideas – This Can Happen

This Can Happen is a solutions-led corporate mental health conference which launched in 2018 to a sell out audience of 750 delegates from over 120 companies. The event took place at the Intercontinental Hotel at The 02 with 3 stages, 23 sessions, 60+ speakers and an experiential zone with VR and role play.

This was not an HR conference, rather we asked companies to send delegations from post room to boardroom since mental health affects every level of every company. Everything we did was solutions-led meaning each session needed to outline to the delegates what they can use in their day to day lives. We went further and produced our ebook which outlined each session, what was discussed with the key solutions.

This has been downloaded over 4,000 times and now sits on hundreds of company intranets as a ready reference mental health tool.

Was it successful? Well we had delegations from 16 of the top 20 Law firms, 7 of the top 10 Accountancy practices, every major Bank and Insurance company, advertising agencies, food manufacturers and construction companies.

So what’s next. We will have over 1,000 delegates this year. Will you be one of them?

Telegraph Events – Women Mean Business Live

Women Mean Business Live (WMBL) was more than a conference linked to a publication, it was the power of live journalism at its best. Bringing editorial vision of driving profound change through the collective voice of our nation’s most successful men and women across media, politics, fashion and business to life. It set the media agenda and forced the Government to take action.

Smashing every target it was set, delivering >500 delegates, exceeding both delegate and sponsorship targets and creating a powerful platform to empower a hugely influential national movement, created and championed by The Telegraph’s leading journalists.

An unparalleled speaker programme, it drove action and change, amplifying critical policy-changing conversations on women’s equality and rights. With standing room only in many sessions, this event saw unprecedented demand by delegates and was rich in aligned and meaningful
sponsorship partnerships. A powerful ecosystem confronting and driving change, powered by our Telegraph’s outstanding journalism and senior leadership including Nick Hugh CEO, Jo Morell (Managing Editor). Chris Evans (Editor) Victoria Harper (Features Director) and Claire Cohen (Women’s and Associate Features Editor)

WMBL aimed to, in the words of one Treasury Minister, unlock the “greatest economic opportunity of the 21st century”: Women-led enterprises

Audience – The London Stansted Airport Travel Show

The London Stansted Airport Travel Show was set out to showcase the airport’s growing routes network – over 200 destinations for summer 2018 – including the recently announced daily Emirates to Dubai service and all the onward connections this opens up to passengers from across the region. Other objectives included providing networking opportunities for airline partners and travel agents; and creating a platform for airlines to promote their materials and product information.

Emap/Metropolis – Nursing Times Workforce Summit & Awards

The NT Workforce Summit and Awards were a true example of team work with each division, production, marketing, sales and operations outperforming targets and delivering an event that shines a light on the most topical issue in nursing at present and goes some way to helping organisations to address serious workforce sustainability issues. An excellent example of delivering a new event at pace, while managing challenging periods of overlapping event timelines and maintaining high standards.

GLC Europe – HSE360

With more than 40 expert speakers and around 200 participants representing a range of industries from around the world, HSE360 Summit is a unique experience and a must for health and safety professionals. When we started this project, our main aim was to create a different HSE event on the market. Why is it different?
We have eight reasons for that:

– Participants can meet 150+ industry professionals under one roof
– Biggest health and safety event in Frankfurt
– Only content-driven presentations
– One ticket, 2 days, 3 tracks and exhibition area
– Real life case studies and innovation showcase
– Interactive workshops
– Chance to win a best-selling book and to meet the author
– Communication session and cocktail reception

Do not miss this opportunity to broaden your horizons, network with colleagues from around the world and learn something new, which could make a difference to you, your organisation and your environment.

Hennik Research – Manufacturing Innovation Summit

Manufacturing Innovation Summit was a leap into the dark – representing a new product category, new audience segment, and a new conference format. Happily we landed with cat-like agility, delivering well in excess of our 100 pax/£100k targets, and ticking off important secondary objectives including data acquisition and audience development.

Manufacturing Innovation Summit was created to diversify a magazine publisher’s revenues into events, and also to reach into a swathe of emerging manufacturing job titles deemed to be important to the future of the business.

We took a novel approach to research – creating a newsletter-based micro-community to attract prospective delegates and sponsors, and to provide clear metrics on which topics were of most interest.

We also took a novel approach to the event format – which revolved round a series of uniquely-themed discussion topics. Delegates were free to choose where, and with which speakers and sponsors, they spent their time – ensuring that they got the most of their time. This also ensured that sponsors got to meet delegates most engaged with the topic being sponsored.

More people, having more relevant conversations = mission accomplished.

Incisive Media – Professional Adviser 360

Our aim was to create a ‘best in class’ conference, that meant top drawer content, leading speakers, latest industry innovations and a focus on thought leadership and excellence. Research involving our advisory panel of industry experts and conversations with target delegates helped form the basic structure of the conference – ‘You and Your Business’, ‘You and Your Clients’ and ‘You and Your Profession’. We worked with our sponsors to create interesting and educational presentations which addressed the wider challenges of the investment process and decision making. PA360 was the first independently owned conference for Financial Advisers to provide a platform (“Supplier Hub”) for the smaller providers of products and services, who are usually unable to afford the high prices of participation at large industry events. We used a combinations of marketing techniques for maximum awareness and engagement, including email campaigns, editorial coverage, social media campaigns, telesales, online banners adverts and direct mailing. We had 33 sponsors and 47 expert speakers on the day. The event achieved 177% over our revenue target. The PA360 Conference attracted over 330 delegates – the largest audience for any independently organised financial adviser conference in 2018.

Govnet Communications – Independent Schools Conference

following the successful launch of Independent Schools Conference in November 2018. In addition to opening a new market both for us and for our clients, the event has also resulted in a community of interest who we look forward to serving for years to come. Launch events present specific challenges and launch events in unknown industries more so. The adversity experienced by our team was taken up with dedication and ingenuity and the lessons learned from building ISC from an idea to a 300+ conference was furthermore vital for our ability to deliver an improved product for 2019 as well as for our ability to reflect upon our entire portfolio.

The King’s Fund – Health and Care Explained

The Health and Care Explained series of events began in March 2018. The concept was the result of discussions and insights from a range of teams across the organisation The health and care system grows further complicated every year and increasingly the Fund has dedicated more time and expertise to sense-making In addition, the organisation’s corporate goals include engaging with new audiences, showcasing the breadth of expertise across the organisation and giving colleagues development opportunities in chairing and speaking at events Given the external environment and these internal goals, we set out to create the first conference that would explain the structures and systems of the health and care sector (and why they matter) The first conference sold out seven weeks in advance and we repeated it five months later and it sold out again (despite taking place in August) We have since run it a third time in London and once in Leeds. We most recently ran a specific explainer conference on digital health and care, which was identified by audiences as a key area that they wanted to understand further.

Best Operations Team

November 26, 2019 by

Bioscientifica

The ESPE Meeting is the flagship event of the European Society for Paediatric Endocrinology (ESPE) It provides a global platform for scientists and doctors to share the latest research and clinical advances in paediatric endocrine care, helping to improve the lives of children with endocrine conditions.

The Bioscientifica operations team for the 2018 ESPE Meeting in Athens was expertly led by a Head of Events, a Senior Event Manager and an Events Team Manager — all with extensive experience in the industry and over 5 years working for Bioscientifica. However, the majority of the support team were new to the events industry, with less than a year’s experience each.

ESPE 2018 posed significant challenges for this new team. The Meeting was unexpectedly hit by tropical storm Zorba — a rare ‘Medicane’ which resulted in local services and transport being severely disrupted. Yet, despite this setback, the operations team pulled together to deliver the most successful Meeting in ESPE’s history. This is a testament to their work ethic, motivation and excellent team work.

Capacity Media

Capacity Media Operations Team consists of 11 members some new to the events world and others with over 12 years’ of event experience. Each member has an important role and voice within the team.

Our goal is simple – enhance our company brand through giving our clients and delegates the best ever event experience whilst managing our risks and liability. Our customers are at the heart of everything we do, no job is too big or too small for us whether it is allowing our clients to access us onsite via WhatsApp or to pre-event briefings. We strive to adapt our offerings to both our sponsors and clients and over the past years have been able to add value with innovative ideas such as tiered level branding ensuring greater exposure for our high-level sponsors and introducing cultural performances at some of our events. We have a real ‘can do’ attitude here at Capacity Media and stay ahead of the game by anticipating every challenge or potential problem in advance and making sure we have a plan to deal with it. We are very proud of the work we do and consider ourselves the titans of the event industry!

CWT M&E

This entry gives a snapshot of the outstanding growth, innovation, strategy and sheer hard work and commitment our staff at CWT Meetings & Events put in, to achieve excellent results for our clients. It gives an insight into the key achievements of our staff, how we’re constantly improving the way we work with our clients, and the ongoing training programme that is in place and available for the team. We truly believe we have the best teams in the business and the feedback we receive and business wins show this.

DRPG – Live Division

A powerhouse of a team, we are so proud of each and every person that makes DRPG Live. We are nothing without our people and we are so lucky that we have a team that care, want to make a difference, are passionate about what they do but most importantly make ‘Anything’s Possible’.

Continued growth of DRPG has meant that in 2018 we were often pushed at the seams, and whilst we brought in freelance partners at times to ease the pressure, this sometimes became counterproductive as it added more pressure to our teams to ensure we protected the G culture and service standards. The biggest test and challenges were with a large project in June that we delivered for one of our key accounts. The largest and most complicated project of the year with over 60 full time employees in leading roles, it pushed and challenged our team in new ways. On top of this we had our busiest month and weeks at the same time. Never wanting to let anyone down our team rose to the challenge and found new ways of working together to deliver exceptional results.

Resource continued to be our biggest challenge of all, on top of this we have an internal re-structure following the change to the leadership team, seeing the merge of 3 areas of the business come in to one under one leader with new direction and vision.

EMAP Publishing – ConE/HLG Events Team

The ConE/HLG Events Team cover all types of events from conferences to festivals, careers fairs to clubs and roundtables to awards ceremonies across the construction, engineering, healthcare and local government portfolios.

Managing 15,000 attendees throughout 2018, organisation and teamwork is integral to orchestrating this busy and varied workload. Working with such large clientele, customer service is at the forefront of our team ethos.

2018 delivered many successes, with strong numbers to back this. Though our proudest achievement was increasing our festivals from one to three, which required exceptional team collaboration, cost management and attention to detail whilst pushing this ambitious team out of their comfort zone with a challenging 24hr programme to deliver.

We know that as a team understanding the industry, nurturing and promoting leadership within the team, and listening to our customers base will secure our teams’ continued success.

Pageant Media

The operations team at Pageant Media have a very close team dynamic and provide a support system, encouraging the very best from each other. We continue to grow and expand our client database and industry knowledge, whilst still creating amazing events for our valued clients.
